Personal Assistant of Chief Executive Officer

Responsibilities

1. Optimization of working time schedule and calendar management of Chief Executive Officer. 2. Organization of meetings, workshops, telephone and video conferencing; taking minutes of meetings / meetings; track delegated tasks for their timely implementation; reception and distribution of phone calls. 3. Meeting and welcoming visitors of Chief Executive Officer. 4. Organization of business trips registration, order transportation, booking hotel reservation for Chief Executive Officer. 5. Organization of CEO’s workplace (providing stationery, office equipment). 6. The collection, compilation, review and analysis of all external and internal information provided to CEO (letters, reports, presentations, news, mail, analytical reviews, etc.). 7. Organization of effective communication of CEO with directors, managers, employees and others. 8. Working with confidential information and security of records and files of CEO. 9. Creating a purchase request and order in the SAP system. 10. Perform complicated administrative inquiries, both independently and including coordinating the work of other assistants. 11. Interpretation and translation of documents, checking the correction of documents and passing documents for signature by the CEO. 12. Implementation of some official assignments of CEO and other administrative tasks, make independent decisions at own discretion and personal responsibility.

Requirements

Education: Level : Higher Education Area: Foreign Languages/Economic/ Finance/Law Working experience: 2+ years Other requirements Language skills: Fluent in English, Russian and Ukrainian PC Skills: Advanced PC and telecommunication and office devices user; profound knowledge in MS Office (Excel, Word, Outlook, Visio, PowerPoint) Specific knowledge/ experience areas - Ability to communicate at a high level with all levels of management; - Tact, ability to work with confidential information - Knowledge of business etiquette and the highly developed skills of business communication and correspondence.
